Deleting or cleaning an election

Removing Data from Choice Voting Elections

Choice Voting takes data protection very seriously. We use a variety of security measures to protect your data, including:

  • Encryption: All of your data is encrypted when it is stored on our servers. This means that it cannot be read by anyone who does not have the encryption key.

  • Access control: Only authorised personnel have access to your data. We have strict policies in place to control who can access your data and what they can do with it.

  • Data backups: We regularly back up your data to ensure that it is always safe.

  • Data deletion: When you delete your data from the Choice Voting application, it is permanently deleted from our servers. We do not keep any copies of your data.

We are committed to protecting your data and we will continue to invest in security measures to keep your data safe.

Here are some additional details about how ChoiceVoting app removes and protects data:

  1. Data encryption: When you create an account with ChoiceVoting app, your data is encrypted using industry-standard encryption methods. This means that your data is scrambled and cannot be read by anyone who does not have the encryption key. The encryption key is stored on our servers in a secure location.

  2. Access control: Only authorised personnel have access to your data. They use a variety of methods to control access, including:

Role-based access control: This method allows us to control who has access to different types of data. For example, only our customer service team has access to your personal information.

Two-factor authentication: This method requires you to enter a code from your phone in addition to your password when you log in. This helps to protect your account from unauthorised access.

  1. Data backups: We regularly back up your data to ensure that it is always safe. We store our backups in multiple locations.

  2. Data deletion: When you delete your data from the Choice Voting , it is permanently deleted from our servers. We do not keep any copies of your data. This is done using a process called secure erasure, which ensures that your data cannot be recovered.

 

How you can manage your data on Choice Voting.

When creating an election, you will note from your election overview page that you have a data removal date generated. This date tells you when Choice Voting will clean up your election. This means that if you do nothing to remove any data on your election that is no longer required, then Choice Voting will automatically clean up this data for you.

You will receive a warning/reminder email about this cleanup when the date approaches, keeping your contact details up to date is therefore important.

Although we will auto clean your election, it is advisable to do this yourself once your election has completed, and you have taken a copy of your results.

What if I need to retain that data?

There may be occasions where you need to keep the election intact, perhaps for scrutiny purposes, we would advise that rather than keep the data on our systems, you download an archive of your election for safe keeping.

That archive can be restored at anytime to recreate the election exactly how it was at the point you archived it (Results are not archived)
